OVERVIEW
As the Operations Admin Assistant, you'll play a pivotal role in supporting our executive and senior leadership teams, directly impacting the efficiency and success of our operations. Reporting to the Administrative Services Manager, you'll be the go-to person for managing and executing essential administrative tasks, ensuring smooth communication with staff and clients alike. This role is your opportunity to shine by enhancing the workplace experience through exceptional customer service, fostering a strong sense of community, and expertly coordinating the daily operations that keep our office running seamlessly.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

ADMINISTRATIVE
- Covers front desk reception and oversees day-to-day operations of MHF’s administrative offices
- Greets, welcomes and directs visitors to appropriate staff/office space
- Provides administrative assistance to executive and/or senior level management, which includes, but is not limited to, organizing meetings, taking minutes, writing memos, spreadsheets, reports, and other projects as needed
- Performs clerical duties such as answering and routing phone calls, filing, photocopying, transcribing, and faxing
- Receives, sorts, and distributes/coordinates mail and deliveries
- Has the ability to multi-task and work in a fast-paced environment
- Other duties as assigned
OFFICE COORDINATION
- Ensures all office supplies, snacks, and beverages are reasonably stocked
- Maintains inventory count for multiple locations as needed
- Maintains organization of all storage, kitchen, and copy areas
- Monitors meeting room schedules and prepares rooms for all meetings
- Maintains tidy, functional, and well-equipped meeting, collaborative, and common areas
- Acts as the point person for troubleshooting office equipment and coordinating repairs/replacement
- Coordinates staff and visitor meals as needed
- Participates in the employee engagement committee
- Oversees ordering of office supplies, kitchen and bathroom supplies, and snacks and beverages
- Treats all teammates, colleagues, vendors, and customers with kindness and respect
- Is a team player who is proactive, flexible, professional, highly organized, and detail-oriented
- Other duties as assigned
EXPERIENCE:
- 1 – 3 years of work experience in a customer service role such as front desk/reception, administrative assistant, or other related roles
- Bachelor’s degree preferred but not required
COMPANY REQUIREMENTS:
- Must be able to pass a background check to include a 7-year criminal, 10-year SSN & employer history reference check
- Must have valid California driver’s license, at all times
- Excellent interpersonal skills
- Attention to detail
- Must be able to work flexible schedules
- Must accept yearly influenza vaccine or follow standard protocols for infection control if declined
- Must undergo annual testing for tuberculosis as required by the Centers for Disease Control and Prevention
- Must comply with organization wide policies and procedures for COVID 19 testing
