DESCRIPTION OF ROLE: Red Carrot is seeking an Administrative Specialist III to join a team supporting the Airman and Family Care Directorate. The individual filling this role will be an organized, detail-oriented, and personable teammate. The role will provide technical and administrative expertise, supporting data management, documentation, and program coordination across various divisions within the Airman and Family Care Directorate.

KEY RESPONSIBILITIES: 
Administrative Support:
  • Provide comprehensive administrative support to division chiefs and other senior staff, including managing calendars, scheduling meetings, and coordinating logistics for events.
  • Assist in the preparation and distribution of official correspondence, reports, and other documents.
  • Maintain accurate records of all administrative actions, ensuring compliance with organizational policies and procedures.
Travel Coordination:
  • Support staff with official travel arrangements, including booking flights, lodging, and transportation, and processing travel orders and vouchers through the Defense Travel System (DTS).
  • Ensure all travel arrangements comply with government policies and are cost-effective.
  • Track and report on travel expenditures, ensuring they stay within budget.
Data Management:
  • Monitor and manage data inputs and outputs within systems like the AF Family Integrated Statistical Tracking (AFFIRST), ensuring data accuracy and integrity.
  • Maintain and update organizational charts, distribution lists, and other essential records as required by division chiefs.
  • Assist in the organization and inventory of office supplies and promotional items, ensuring timely reordering and availability for events and conferences.
Technical Support:
  • Provide technical expertise in the operation and maintenance of workflow business systems used by the Directorate.
  • Conduct assessments and analyze data to support decision-making processes within the Military & Family Readiness, Casualty Matters, and Integrated Resilience divisions.
  • Ensure that all technical systems are functioning optimally and that data entry is accurate and up-to-date.
Documentation:
  • Accurately document the outcomes of meetings, conferences, and roundtables, ensuring that all relevant information is captured.
  • Maintain and manage internal and external calendars, including the scheduling of standard courses, round tables, and other key events.
  • Support the preparation of reports, presentations, and other documentation required by division chiefs and program managers.
Certification Program Support:
  • Provide logistical and administrative support for the M&FRC Certification program, including scheduling, formatting presentations, and coordinating on-site visits.
  • Assist in maintaining compliance with DoDI and DAFI standards, ensuring that certification timelines are met.
  • Troubleshoot any issues with the certification process and collaborate with program managers to ensure smooth operations.


QUALIFICATIONS: 
  • Associate Degree in Business Administration, Office Management, or a related field is preferred.
  • Minimum of 3 years of administrative experience, preferably in a government or military environment, familiar with commonly accepted professional guidelines and formats
  • Experience in developing and executing administrative duties through a variety of platforms.
  • Familiarity with government travel systems and data management tools is a plus.
  • Valid State Driver’s License
