The Executive Assistant provides administrative support for the Chief Executive Officer (CEO) to maximize the efficiency and effectiveness of their work. The Executive Assistant prepares Board of Trustee materials, and plans, coordinates, implements, executes, and completes specific projects for the CEO, ensuring consistency with organizational strategy, commitments, and goals.


RESPONSIBILITIES

  1. Provide administrative support for the CEO to maximize the efficiency and effectiveness of the CEO's work.
  2. Plan, coordinate, implement, execute, and complete specific projects for the CEO, ensuring consistency with organizational strategy, commitments, and goals.
  3. Manage the flow of decision making as established in the Foundation's Central Principles by scheduling required Board and Committee meetings.
  4. Manage and coordinate the calendar for all Board and Committee meetings, distribute meeting notices, and manage meeting attendance.
  5. Assist with the intermediate sanctions process for the Foundation.
  6. Manage and triage critical contacts and communications to maximize the efficiency and effectiveness of the CEO.
  7. Proactively manage calendars and schedule appointments for the CEO.
  8. Manage and coordinate travel plans and prepare expense reports, including transportation, lodging, conference registrations, and detailed directions and itinerary related details, including Board of Directors' travel.
  9. Ensure that the CEO is thoroughly prepared for all meetings and events, including preparing meeting materials, providing directions, parking information, and a list of attendees as appropriate.
  10. Perform administrative management duties, including maintenance of files and preparation of presentations and documents.
  11. Manage the flow of decision making by initiating appropriate agendas for each Board and Board Committee meeting, as needed.
  12. Prepare appropriate supporting materials related to Board and Board Committee meetings, as needed.
  13. Perform other duties as assigned by management including, but not limited to, collecting agenda items for Foundation Leadership Team meetings, and supporting other Foundation initiatives and events when asked by the CEO.

REQUIRED QUALIFICATIONS

  1. Bachelor's degree, or equivalent experience.
  2. Minimum of five years of senior level administrative management and/or executive level administrative support experience.
  3. High computer proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  4. Willingness and ability to travel to multiple locations within Central Texas, including some nights and weekends.

PREFERRED QUALIFICATIONS

  1. Bachelor's degree in Business Administration, Management, or other related degree.
  2. Minimum of seven years of senior level administrative management and/or executive level administrative support experience.
  3. Non-profit experience and/or healthcare experience.
  4. Experience in working with a Board of Directors.
  5. High computer proficiency in Diligent electronic board-book software.
