We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be an efficient multitasker with excellent communication skills and the ability to thrive in a fast-paced environment. As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of daily activities, managing administrative tasks, and providing strategic support to our executives.

Please note, this is an hourly contract position working 20 hrs/week. The ideal candidate should be able to commit to a total of 20 hours per week, with some availability on weekends (approximately 2 hours on Saturdays and Sundays for scheduling tasks).

What you get to do every day:

  • Calendar Management: Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Communication: Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications and inquiries.
  • Administrative Support:Provide comprehensive administrative support to executives, including drafting correspondence, preparing reports, and organizing documents.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and events, including logistics, agenda preparation, and follow-up actions.
  • Travel Arrangements: Manage all aspects of travel arrangements, including booking flights, accommodations, and transportation.
  • Expense Management: Track and reconcile expenses, prepare expense reports, and ensure compliance with company policies.
  • Project Assistance: Assist with special projects and initiatives as assigned by executives, including research, data analysis, and presentation preparation.
  • Confidentiality: Handle sensitive and confidential information with discretion and maintain a high level of confidentiality at all times.
  • Relationship Management: Cultivate positive relationships with internal and external stakeholders, representing executives professionally and effectively.
  • Process Improvement: Identify opportunities for process improvements and efficiency enhancements within the executive office and implement solutions as needed.

What you bring to the role:

  • Proven experience as an executive assistant or similar role, preferably supporting C-suite executives
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively
  • Strong communication skills, both written and verbal, with a professional and courteous demeanor
  • Proficiency in Microsoft Office Suite and other relevant software applications
  • Ability to maintain confidentiality and exercise sound judgment and discretion
  • Strong attention to detail and accuracy in all work
  • Adaptability and flexibility to accommodate shifting priorities and deadlines
  • Positive attitude, proactive approach, and willingness to take initiative
