Summary:
The Project Coordinator is responsible for performing branch resource and operations support including, customer account and billing functions, serving as a liaison between customer and branch, along with timely and accurate project revenue data tracking and entry for high-volume operations.


Key Roles & Responsibilities:
· Review customer and project contracts and change orders to establish an understanding of requirements related to deliverables, pricing, labor category requirements (prevailing wage), payment terms, etc. Communicate this critical project information to the internal team.

· Create and maintain customer and project profiles within the ERP system in accordance with company procedures and requirements.

· Daily entry of production revenue and production tracking into ERP/Customer Portal/Database

· Review, process and validate daily electronic production files, personnel, and projects for assigned location(s)

· Completes audit of revenue entry for accuracy and completeness and resolves discrepancies by following standard procedures. Performs revenue recognition process.

· Create invoicing based on customer/project billing requirements and assist with the reconciliation/resolution of billing discrepancies.

· Supports AR/Collection efforts following established processes and procedures.

· Utilizes ERP system to track and record customer interactions as they relate to Accounts Receivable.

· Assist with the preparation of daily and weekly accounts receivable reports.

· Analyze data and proactively identify potential conflicts.

· Other administrative tasks may be required.


Requirements/ Qualifications:

· Strong attention to detail and ability to handle multiple tasks simultaneously

· Communicate effectively, both verbal and written, with all levels of employees, management, outside vendors, and customers

· Manage a large volume workload while maintaining a high-level of accuracy

· Read and interpret documents such as contracts, procedures manuals, safety rules, and operating and maintenance instructions.

· Analyze situations, gather appropriate facts, and determine appropriate action

Strong computer skills including advanced knowledge of Microsoft Office, and the ability to create and edit documents and spreadsheets. ERP (Enterprise Resource Planning) system experience is a plus.

· Maintain satisfactory working relationships with co-workers, vendors, and the general public and other personnel.

· Experience calculating figures and amounts such as bids/proposal totals, discounts, sales tax and commission
