Senior Proposal and Marketing Specialist

Position Summary:

Leads the marketing department’s efforts on large and/or complex submittals including proposals and opportunity-specific qualification documents. Working with the opportunity lead, helps plan and organize the proposal from capture planning through final submission and proposal debrief. Conducts research for capture planning activities. Collaborates with Opportunity owner to develop win themes. Researches/writes/illustrates proofs such as tailored resumes and project descriptions for use in proposal and gathers other expected content in advance of the RFP. Following RFP release, prepares a proposal outline and plan for submission and assists opportunity owner with a formal kickoff for the proposal. Maintains the master proposal document, identifies and weaves in win themes. Works with operations, quality, safety, and technical personnel to ensure their pieces are prepared on time and comply with the RFP requirements. Writing skills are essential to this position. Candidate must be capable of researching and writing non-technical sections of proposal (company experience, staffing, etc.). Desktop publishing skills are also essential to format proposal documents, marketing collateral, presentations, and other materials production as needed. To add some variety to the work week, the candidate will also research, write, and illustrate internal and external communications, and related marketing materials. All deliverables must be prepared in compliance with GES’ branding guidance. The breakdown is roughly 80% proposal related tasks and 20% marketing-related tasks.

Duties and Responsibilities:

  • Respond promptly to requests for proposal and marketing materials and information.
  • Conduct research to contribute to the management for client business development plans, capture planning, and for making BID/NOBID decisions.
  • Research, write, edit, format and proofread copy for marketing collateral materials including statements of qualifications, cut sheets, brochures, announcements, and web site content.
  • Research, write, and update project descriptions, resumes, proposal sections/topics and other qualifications materials.
  • Prepares proposal directives with compliance matrices for proposals.
  • Schedules and conducts proposal reviews (red team).
  • Develops, populates, and/or reviews project and personnel selection matrices for large proposals.
  • Writes marketing collateral and non-technical proposal sections.
  • Plan and execute final document production to meet client deadlines, including final reviews of proposals and other client deliverables as needed.
  • Contributes new information in support of our marketing databases for use in future marketing or proposal tasks (updates to resumes and project descriptions, etc.).
  • Takes leadership role of non-standard work assignments at GES (i.e. Sustainability Report Card, quality modules, etc.).
  • While continuing to develop your own writing, desktop publishing, marketing, and production skills, mentor junior staff to help progress their skills.
  • Assist with developing GES webinars and lunch and learn modules for GES University.
  • Participate in bi-weekly Marketing meetings and annual Marketing face-to-face meeting.
  • Understand and follow the best practices outlined in the marketing manual which was developed as a series of “lessons learned” to help us work together as a cohesive team and avoid common obstacles.

Minimum Requirements:

Education: Bachelor’s degree in Communications, Journalism, Business, English, or related field.

Experience: Total of 10+ years marketing and/or proposal experience

Proficiencies: Excellent command of English language, written and verbal

Proficient with Microsoft Office Products (i.e., Microsoft Word, Excel and PowerPoint, etc.) and Adobe Creative Suite (i.e., InDesign, Photoshop, etc.) software
