Overview:

We are seeking a detail-oriented and proactive Administration Assistant with strong accounting and operations skills to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This position currently requires 20 hours a week and has the potential to become full-time.

Responsibilities

Administrative Support:

  • Assist in office activities and operations to ensure efficiency and compliance with company policies.
  • Handle incoming calls, emails, and correspondence, directing them to the appropriate personnel.
  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
  • Assist in scheduling meetings, appointments, and travel arrangements for staff.
  • Prepare and maintain documentation and reports, including expense reports, invoices, and other financial documents.

Accounting Tasks:

  • Assist in processing accounts payable and accounts receivable transactions.
  • Prepare and maintain documentation and reports, including expense reports, commissions, invoices, and other financial documents.

Operations Support:

  • Collaborate with purchasing and logistics department to ensure smooth reception of incoming goods.
  • Assist in cycle counts and other inventory activities.
  • Support E-commerce activities, including product listing, Webshop tracking timelines, milestones, and deliverables.
  • Support Marketing activities such as trade show organization, Showroom preparation for customer visits.

 

Qualifications:

  • Proven experience as an Administration Assistant, Administrative Coordinator, or similar role.
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach.
  • Knowledge of basic accounting principles and practices.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Bachelor’s or Associate degree in Business Administration preferred.
