Christ & Holy Trinity Preschool (CHT) is a non-profit preschool for children ages two through five years old. We are fully licensed by the State  of Connecticut and a member of the National Association of Episcopal Schools (NAES). For over 50 years, CHT has been blessed with a tradition of educational excellence supported by an engaged community of families.  The Preschool sits on the campus of the church in beautiful downtown Westport.

Our Programs

CHT offers programs for children ages two through five years that are based on the Reggio Emilia approach which fosters curiosity and encourages children to collaborate, solve problems, and understand the world around them.  Our curriculum focuses on the CT Early Learning and Development Standards (CTELDS) and fosters learning and growth through an emergent, project-based curriculum. 

Position Summary

CHT is seeking an Administrative/Finance Assistant capable of assisting the Director in building upon CHT’s reputation as a nurturing, collaborative community that fosters personal growth, respect, empathy and a love of learning among the staff, children and families. The Administrative/Finance Assistant is responsible for supporting the Director in all aspects of the daily operation of the school, including marketing and communication, recruitment and enrollment, purchasing of supplies and equipment, and other administrative duties as noted below.

Responsibilities

Office Support

·       Greet families each day and help supervise drop off and pick up.

·       Support day to day operations of the school including, but not limited to, answering phone, filing, photocopying, as needed.

·       Document management:  Manage and create school handbooks, flyers, handouts and program materials as needed.

·       Inventory/Equipment Management:  Order supplies as needed (kitchen, classroom, art, office supplies) and oversee office equipment               maintenance (copiers, laminator, computers, etc)

·       Lunch program Management:  Coordinate and manage lunch program registrations, order and delivery of lunches, prep trays/food for            children participating in lunch programs 

Licensing Standards

·       Work collaboratively with nurse consultant to ensure that student and teacher health documents are in order

·       Coordinate with the Director to ensure compliance with all health code requirements in accordance with Federal, State licensing               standards. 

·       Assist with tracking of background checks and assist staff with scheduling fingerprinting

Marketing/Enrollment

·       Assist with preparation of program materials/folders for prospective parents

·       Help maintain and update the preschool website with calendar, photos and event/enrollment information.

·       Assist with the registration process for new and existing families

·       Create new student files and file paperwork as needed

·       Maintain class lists with updated parent contact information

Financial

·       Assist with tracking tuition payments 

·       Assist with managing Extended Day enrollment and payment 

·       Assist with managing parent orders for helmets, school photos, scholastic books and class photo books.

·       Assist with record keeping for Preschool credit card purchases.

·       Assist with tracking staff reimbursement requests 

·       Assist Director with financial tasks as requested (pay invoices, run Quickbook reports)

Qualifications & Skills

·       Experience in Early Childhood Education, Child Development or a related field 

·       Microsoft Office experience (Word, Excel)

·       Experience creating and modifying Google documents

·       Exceptional written and oral communication skills

·       Proven managerial and organizational skills

·       A track record for being flexible, approachable and one who inspires positive collaboration

·       Demonstrated ability to relate to children, parents and staff with appropriate sensitivity

·       Willingness to pursue classes for professional development
