Role Overview:

The Chicago Center for Sports Medicine & Orthopedic Surgery seeks a skilled and dynamic Surgery Scheduler Specialist to manage our surgeons' complex schedules across various facilities. The ideal candidate will possess exceptional multitasking abilities, outstanding customer service skills, and the capability to effectively coordinate with vendors, facilities, and most importantly, our patients.

 

Essential Duties and Responsibilities:

  • Efficiently schedule surgeries, balancing the physician's office commitments with external obligations.
  • Accurately obtain and document comprehensive patient histories, ensuring all pre-operative requirements, including lab work and clearance paperwork, are fulfilled.
  • Monitor patient compliance, verifying the completion of all necessary pre-surgery documentation.
  • Coordinate logistical arrangements for Durable Medical Equipment (DME), Physical Therapy, and Home Health Care services as needed before and after surgery.
  • Manage the scheduling of all post-operative follow-up visits and track surgical patients through our office registry system.
  • Facilitate seamless communication with DME representatives and surgical vendors to ensure comprehensive case coordination.
  • Act as the primary liaison between patients and physicians throughout the surgical journey, utilizing email or text for updates.
  • Timely submission of patient data to surgical centers and management of imaging requests as per physician directives.
  • Navigate insurance protocols to secure pre-certifications, referrals, and authorizations as required.
  • Educate patients on their surgical procedures, discussing financial responsibilities and addressing any pre or post-operative queries.
  • Oversee all pre-operative testing and surgical clearances, consulting with physician assistants or doctors as necessary.
  • Maintain meticulous records and adhere to all communication protocols, ensuring prompt response to patient inquiries and efficient management of medical documentation.
  • Support marketing efforts by updating educational materials and patient handouts.

 

Competencies:

  • Proven ability to thrive in a fast-paced environment and manage multiple tasks simultaneously.
  • Strong background in Orthopedics and proficiency with the EClinicalWorks (ECW) EMR system.
  • Effective communication skills, both verbal and written, for comprehensive documentation and patient interaction.
  • Keen attention to detail, with the capacity to work independently and as part of a team.
  • Solid understanding of medical insurance, including Work Comp and Personal Injury cases.
  • Familiarity with pharmaceuticals, medical terminology, ICD10, and CPT codes.

 

Required Education & Experience:

  • Previous experience in an orthopedic setting is essential.
  • Demonstrated proficiency in using EClinicalWorks (ECW) or similar EMR systems.
