FULL-TIME BILINGUAL ADMINISTRATIVE ASSISTANT NEEDED FOR LOCAL SANTA BARBARA LAW FIRM

We are seeking a Bi-Lingual (English and Spanish), highly-motivated, intelligent, reliable individual with excellent attention to detail and prior work experience to work in a collaborative environment and be part of a great local Santa Barbara law firm specializing in family and criminal law

This is a Full-Time Position.

Other Desirable Qualifications:

-Prior training or experience in a law office or with performing similar tasks

-Knowledge of legal terminology, e-filing requirements and court rules

-Have extensive knowledge of legal proceedings and documentation

-Long-established, extensive experience with Tickler File Calendaring System (or similar tracking system), WordPerfect®, Adobe® and Legal Solutions®

Duties include, but are not limited to:

· Interacting with, and assisting with all firm personnel by providing additional clerical support to attorneys and staff, when needed

· Draft correspondence and legal documents, including but not limited to assisting attorney with preparation of pleadings, briefs, motions, subpoenas, and discovery-related materials

· Tracking of cases to ensure timely preparation

· Daily ongoing review of incoming emails and telephone calls to effectively monitor current project status and actively prioritize newly assigned projects

· Accurate processing of client intake from conflict checks to generating new client or matter forms, to creation of client folders on the firm network server

· Inventory and order of office supplies

· Creating, Maintaining and Organizing Client Files from discovery through trial

· Deliver confidential materials to the courts, clients or other attorneys

· Daily clerical work including answering telephones, scheduling appointments, responding to e-mails, photocopying, maintaining attorney calendars, processing incoming mail, following-up with clients via telephone and e-mail

· Following both written and oral instructions to revise, format and finalize letters, pleadings, tables and charts, briefs, reports, court forms, motions, oppositions, replies, settlement agreements and other related documents

· Prepare monthly billing statements and related records

· Filing various documents and records with the court in compliance with all court rules

· Timekeeping

· Preparation of Trial Binders, Exhibits

· Transcription and Data entry

· Sorting and saving documents and records

· Handle client questions and concerns

· Participate in cooperation with other attorneys and staff

· Light cleaning and related organization of common areas and individual work space

· Office filing and indexing

This is a full-time position and regular business hours are Monday-Friday 8:30 a.m.-5:00 p.m.
