Monday – Thursday 7:30am – 5pm

Every 3rd Friday 8am – 12pm

The Payroll Administrative Assistant/Receptionist will coordinate, and process assigned payrolls for various clients, greet, and assist customers, and answer all incoming calls.

Job Summary

Perform quality work within deadlines with or without direct supervision.

Interact professionally with other employees, customers, and suppliers.

Work effectively as a team contributor on all assignments.

Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.

Job Responsibilities

· Ensure that all payroll information has been received from client in a timely manner.

· Input any time or payroll related items into processing system.

· Generate pre-process for each payroll to send to client before processing.

· Once approved by Payroll Manager and client, process payroll and distribute.

· Maintain clear and open communication with clients regarding any payroll issues.

· Process manual checks as needed.

· Create/run all payroll reports for assigned clients.

· Act as backup for other Payroll Processors who are absent from work when needed.

· Answer all incoming calls and direct to the appropriate person or department.

· Greet customers and answer questions, in person and by telephone; respond to inquiries from customers and refer, when necessary, to the appropriate person, official or department.

· Scan and file payroll departmental documents.

· Assist with any special projects requested by manager.

Qualifications

· Excellent organizational, written and verbal communication

· Strong attention to detail

· Ability to work as a team and maintain a positive attitude

· Strong interpersonal skills and an ability to build rapport with clients

· Willingness to “dive in” and learn

· Proficient Microsoft Office skills, specifically in Excel and Word
