Key Responsibilities:
The Human Resources Coordinator undertakes essential administrative tasks within the HR department, which include:
- Scheduling appointments and maintaining organized files.
- Responding to inquiries both in writing and face-to-face, addressing frequently asked questions from applicants and employees.
- Providing information on standard policies, benefits, and the hiring process, while directing more complex inquiries to senior HR personnel.
- Assisting with record maintenance and onboarding procedures for new hires, along with offering clerical support to all office employees.
- Facilitating daily HR operations by delivering administrative assistance to the HR team.
- Exhibiting professional customer service and conflict resolution skills when interacting with prospective, current, and former employees.
- Managing internal and external HR-related inquiries, including problem-solving, complaints, and communication coordination with candidates and employees.
- Maintaining digital and electronic employee records, including badge photographs, I-9 documentation, and updated personnel data.
- Overseeing the completion of compensation and payroll documentation for new hires, ensuring accuracy and resolving discrepancies.
- Assisting employees with general benefits inquiries and directing complex requests to the appropriate benefits team member.
- Utilizing the Banner system to ensure employees receive the correct benefits forms as necessary.
- Supporting performance management processes, including documentation of corrective actions and data entry.
- Confirming approvals for temporary agency employees and managing related documentation.
- Coordinating new employee orientation and updating the Banner system with necessary information.
- Compiling information for subpoenas and scheduling meetings, interviews, and HR events as requested.
- Coordinating training sessions, retreats, and workshops as needed.
- Preparing for weekly new employee orientations and ensuring all new hires are documented correctly.
- Generating reports on general HR activities and dashboards as required.
- Completing termination paperwork and assisting with exit interviews.
- Staying updated on the latest HR trends and best practices.
- Reviewing employee information in the Banner system to ensure proper documentation.
- Inspecting Accident/Incident Reports for accuracy and forwarding them to the appropriate vendor.
- Providing coverage in multiple HR offices as needed.
- Working the assigned schedule, including potential overtime.
- Performing other duties as assigned and participating in committees as required.
- Engaging in Performance Improvement activities through quality measurement or participation in assigned processes.
Qualifications:
A high school diploma or equivalent is required, along with five years of experience in a Human Resources assistant, staff assistant, secretary, or related administrative role. A bachelor's degree may substitute for the required experience on a year-for-year basis.
