Canopy Builders is seeking a dedicated and detail-oriented Accounts Payable Specialist to join our team. This role is essential for managing accounts payable and ensuring accurate job cost accounting in our construction projects. The ideal candidate will have experience with QuickBooks Online and preferably with construction job cost accounting. Experience with BuilderTrend and Google Sheets is a plus.

Responsibilities

Job Costing and Receipt Processing:

●      Follow the Job Costing Guide for all job costing and receipt processing.

●      Process all invoices received

●      Upload invoices/receipts to invoice processing software, assign job/PM names, and flag exceptions, including adding descriptions for any questions.

●      Utility Payments:

○      Manage proper coding for all utility payments

●      Job costing of high volume vendor and supplier invoices.

Payment Processing:

●      ACH Payments: Initiate ACH payments through Adaptive with supervision and approval from the Accounting Manager

●      Check Processing: Generate checks for signature, stuff envelopes, and handle last-minute requests.

●      Payment Research: Assist vendors in matching payments.

Reconciliations:

●      Perform reconciliations for specific high volume vendors and suppliers as well as credit card payments.

Utility Management:

●      Maintain and document utility-related transactions.

●      Review and input data for specific subcontractors.

Lien Releases:

●      Retrieve lien releases under the direction of Accounting Manager

●      Manage lien waiver contact information for subcontractors and suppliers

General Duties:

●      Insurance Certificates (W/C and GL): Review and ensure they are up to date for each subcontractor.

●      Trade Agreements: Keep all subcontractor trade agreements current.

●      W-9 Forms: Maintain up-to-date records.

●      AP Contact List Management: Maintain an updated contact list for subcontractors

●      Notary Public general duties

Qualifications

●      Experience in QuickBooks Online is required.

●      Previous accounts payable experience is a plus.

●      Experience with construction job cost accounting is preferred.

●      Familiarity with BuilderTrend is a plus.

●      Strong attention to detail and organizational skills.

●      Excellent communication and interpersonal skills.
