Job DescriptionJob Description

The Human Resources Operations Specialist will bring an innovative approach for facilitating all key HR functions and programs in collaboration with the HR team. This includes HR administration, onboarding/ offboarding employees, payroll, benefits administration, HRIS data management, reporting, compliance, employee relations, learning and development, and employee engagement. This role is pivotal in ensuring the efficiency and compliance of our client’s HR operations as they expand their US presence.

Responsibilities:

  • New employee onboarding and orientation
  • Employee Quarterly Meetings & Special Events
  • Well-being programming
  • Culture & Community Committee participation and collaboration 
  • Employee Engagement Survey 
  • Assist with vendor management and invoice processing, where needed.
  • Assist with guiding employees through various human resources processes, answering any questions they may have about policies. 
  • Workday HCM:  Manage updates and changes to employee records; new hire information, benefit plan changes and updates. Assist with benefits and payroll administration and responding to queries and questions.
  • Ensure compliance with federal, state, and local employment laws and regulations, maintaining up-to-date knowledge of relevant HR legislation.
  • Maintains employee records, initiates/handles and files confidential and materially sensitive documents.
  • Review current HR processes and recommend process efficiencies where appropriate. 
  • Assists with talent acquisition process, candidate experience and pre-onboarding process.
  • Distributes, manages, tracks, and maintains HR documents and forms at the direction of senior HR colleagues.
  • Assist and participate in HR Projects across all functional areas: Total Rewards, Talent Acquisition, Leaning and Development, etc.


Requirements / Qualifications:

  • An Associate or Bachelor’s degree is required or the equivalent in work experience.
  • At least three (3) years of human resources operations, with an increasing level of responsibility. Strong knowledge of HR processes, policies, and best practices. Work experience within the pharmaceutical or biotechnology industry is preferred. Excellent verbal and written communication skills.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Experience with Workday HCM system preferred. 
  • Experience with ADP Workforce Now system preferred.
  • Basic mathematical skills for the purpose of processing partial and full payments, with record keeping as to balances due and credits owed when collaborating with external vendors.
  • Strong organizational, analytical skills and critical thinking skills.
  • Demonstrated use of sound judgement, to make demanding decisions with successful follow-through and outcomes.
  • Highly organized with a strong attention to detail, clarity, and accuracy.
  • Must have excellent communication skills (verbal and written). 
  • Manages conflict, complexity, and ambiguity.
  • Operates with integrity and confidentiality.
  • Customer Focus, initiative-taking, and action-oriented. 
  • May be required to work beyond normal business hours including evening and/or weekend (e.g., teleconference with counterparts of Japan parent company) as business needs dictate.
  • Work is sedentary in nature, but may require standing, walking, grasping, and lifting/moving up to 15 pounds (e.g., to shred documents, to maintain a neat and organized work environment, and to lift paper supplies, and large boxes and files).
  • The noise level in the work environment is usually quiet.
  • Business Travel will be minimal, if needed.
