Responsibilities:
- Maintain confidentiality of sensitive information and handle it with discretion.
- Learn about company’s customers, markets, and the value each division provides to acquire the knowledge to support key initiatives and priorities.
- Coordinate calendar activities to meet deadlines, support upcoming meetings by gathering relevant information beforehand, document action items, and schedule follow up meetings.
- Organize travel arrangements and compile expense reports.
- Create PowerPoint presentations and draft correspondence.
- Learn the Customer Relationship Management (CRM) software, Dynamics 365, to generate reports, and enter customer meeting notes.
- Assist with organizing mail and filing reports, correspondence, etc. Create and maintain a repository of vendor contracts.
- Assist in planning quarterly board meetings, encompassing tasks such as developing meeting materials/presentations and arranging catering logistics.
- Undertake assigned special projects, such as organizing visits from studio partners and managing company’s sporting tickets.
- Other responsibilities may be assigned as the business needs change.
Qualifications:
- Bachelor’s degree in business, finance or related field required
- 3+ years of administrative experience preferred
- Mastery of Microsoft Office applications including Excel©, Word©, PowerPoint©, and Outlook©
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Demonstrated ability to communicate with stakeholders at all levels of the organization
