Job Summary

The Executive Assistant provides high-level administrative support to the executive leadership team by possessing exceptional organizational and time management skills. This role requires excellent oral and written communication skills, with a strong ability to anticipate and resolve problems proactively. The ideal candidate will demonstrate a high level of attention to detail, a positive attitude, and a strong work ethic.

Key Responsibilities
  • Manage executive calendars and contacts, ensuring accuracy and timeliness.
  • Receive and route incoming calls, arrange callbacks, and provide back-up materials as needed.
  • Receive and greet visitors in a professional manner, directing them to the appropriate individual and assisting with their needs.
  • Make travel arrangements, both domestic and international, with attention to logistics and prepare subsequent expense reports.
  • Manage travel vendors and provide monthly travel and expense reporting.
  • Coordinate and manage meetings and events, anticipating project needs and budgets.
  • Assist with projects and assume project-management responsibility as needed.
  • Establish and maintain relationships with executive leadership team members, managers, and their teams to foster positive interactions.
  • Create, consolidate, and standardize PowerPoint presentations for Operating Board and Board of Director meetings.
  • Produce, edit, and distribute letters, memoranda, reports, presentations, and graphics using various software products.
Requirements

To perform this job successfully, the ideal candidate will possess:

  • A minimum of 5-7 years of senior leadership support/executive assistant experience.
  • A high school diploma is required; an Associate degree in business from an accredited college or university or equivalent experience is preferred.
  • Proficiency in Microsoft Office, including MS Word, Excel, Outlook, Teams, and PowerPoint.
