Program Assistant for DV Agency

Agency serves survivors of domestic violence. The Program Assistant assists with many program functions that support the Case Management team and Leaders by providing administrative support to Program Leaders and Case Managers. M - F business hours. Temp for 6 months, starts ASAP. Candidate must have DV certification.
RESPONSIBILITIES:
- Assist with the administrative needs of the program leaders and case managers to benefit the clients.
- Ensure transitional housing monthly program fees are given to finance.
- Assist with scheduling of all program services including workshops, support groups, case management, client events, and other shelter client-related activities.
- Provide support and office coverage with administrative client services as needed on-site, by managing Dropbox, creating, and updating client binders, and necessary paperwork for clients at the direction of program leaders and case managers.
- Assist with onboarding new hires by orienting them to the shelter, including the location of supplies, emergency exits, and a walkthrough of the building.
- Assist and process invoices for accounts payable when necessary.
- Run general shelter errands.
- Work directly with the Residential Program Manager for any shelter needs.
- Responsible for cleaning rooms and other light cleaning as clients are moving in and moving out of program.
- Will need to transport clients occasionally when directed by the Residential Program Manager.
- Responsible for doing routine shelter grocery shopping.
- Provide administrative support to the management team.
- Maintain office supplies, organize supplies and keep an inventory of supplies.
- Oversight and compiling statistical reporting including but not limited to monthly program reports to the Program Director, client records, updating Salesforce, individual case files, and daily client logs and service statistics.
- Coordinate monthly office orders as necessary for shelter (for staff and client needs).
- Coordinate meetings and staff trainings, as needed.
- Assist Volunteer Outreach & Coordinator with 40 Hour Domestic Violence Training by preparing documents, scheduling, and other administrative duties, as needed.
- Answer crisis line calls on scheduled rotation and when needed, including entering data in Salesforce.
- Participate in regular staff meetings: general team management/administrative meetings, Community Time and In-Service Meetings, and other meetings as needed or requested. Participation in all trainings is required.
- Responsible for overseeing facility upkeep and maintenance in coordination with the Program Director and/or the Director of Program Operations or Executive Director.
