The basic function of the Office Administrator is to maintain all financial and business documents and provide actionable information to the rest of the management team and ownership. This position is also responsible for ensuring company compliance with the latest laws regarding financial filings and any other requirements. The Office Administrator will be expected to perform as a member of the management team and will contribute to the identification and execution of improvement activities across all aspects of the organization. This position will oversee the function of the office assistant and possibly other team members as we continue to staff and grow the business.

To perform this job successfully, an individual must be highly skilled in office methods and practices. The person will need to have demonstrated ability to solve complex problems that require out of the box thinking. We are looking for someone who will challenge conventional practice and constantly look for a better way. The successful candidate will have some management experience and have a strong desire to build a team and actively work in a high growth business. EDUCATION : 

Required: High School degree.

Preferred: Bachelor’s degree in Business Administration, Finance or Accounting.

EXPERIENCE :

 

Required: Previous experience in a similar role in a company with $ 2 million plus in revenue.

Preferred: Five or more years’ experience in a company with 10+ employees.

- ISO compliance or certification exposure is a plus.

- Excellent working knowledge of Quick Books required.

- working knowledge of “Point of Rental” software preferred.

 

PHYSICAL

 

- The physical demands described here are representative of those that must be met by the employee to successfully perform the essential functions of this job.

- BODY POSITIONS: While performing the duties of this job, the employee is occasionally required to lift, bend and move.

- BODY SENSES: The employee must have command of all five senses: sight, hearing, touch, smell and taste. Specific vision abilities required include close vision, depth perception, and the ability to adjust focus.

 

WORKING CONDITIONS

 

- This position will be working primarily indoors in an office/manufacturing environment. Saturday and Sunday work may be required but should be extremely rare.

- The noise level in the work environment is typical of office spaces and manufacturing.

 

AUTHORITY

 

-  The Office Administrator is authorized to take any reasonable action necessary to carry out the responsibilities assigned so long as such action does not deviate from established company policy and is consistent with sound business judgment.

 

DUTIES AND RESPONSIBILITIES

 

The duties and responsibilities of the Office Administrator are, but are not limited to:

 

-  Directly responsible for preparing financial statements as required.

-  Responsible for executing and managing all financial paperwork/transactions to provide accurate financial documents.

-  Participate in Leadership meetings.

-  Manages the budget and makes recommendations to ownership and the management team.

-  Maintain appropriate cash levels through the detailed study and management of cash and the cash management system.

-  Align reporting, training, and incentive programs with these performance management priorities.

-  Participate in and occasionally lead improvement activities.

-  Communicate all challenges with appropriate staff.

-   Any other duties and responsibilities that may be assigned by the President or Operations Director.

-   This position will also handle the administrative aspects of HR and Payroll – for example: prepare and provide the paycheck processing company with data required to issue payroll.

-  On time implementation of departmental performance objectives have been met.

-  Departmental goals and objectives relating to budgeted expenses are met or bettered.
