We are currently seeking a friendly and detail-oriented administrative assistant to join our team. In this role, you will play a crucial part in ensuring the smooth operations of our office. The ideal candidate will have excellent communication and organizational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously.

While we are professional, we are not overly formal. Our goal is to achieve a relaxed and enjoyable atmosphere for our clients as well as our team. Responsibilities:

  • Provide administrative support to two attorneys (one is an estate planning attorney, the other is a family law attorney and mediator)
  • Answer calls warmly and professionally, transfer phone calls, schedule appointments, and take messages when necessary
  • Schedule and coordinate meetings and appointments
  • Welcome clients, offer coffee/water/tea
  • Proof-read documents and make edits when necessary, print documents and prepare them for signature
  • Scan and save documents
  • Prepare estate planning binders
  • Witnessing signings
  • Prepare letters, envelopes, and mail
  • Maintain and organize client files and records
  • Assist with billing and invoicing tasks
  • Trouble-shoot issues with office equipment and technology
  • Maintain the office, dust and vacuum when needed, restock supplies, etc.

Requirements:

  • High school diploma or equivalent
  • Proven experience as an administrative assistant, legal assistant, server or in a similar role
  • Proficient in Microsoft Office Suite, familiarity with mycase, clio and/or lawpay a plus
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Ability to prioritize and multitask in a fast-paced environment
  • Familiarity with legal terminology and procedures is a plus but not required
  • Self-starter
  • Resourceful, able to troubleshoot technological issues
  • Notary of Public, not required but a major plus
