Job Description:

The Administrative Assistant will be responsible for directing all phone calls and messages, maintain office services by organizing office operations and procedures; support the executive team; design filing system; receive, review, obtain approval, and place all office supply orders; coordinate meetings and travels; and assign and monitor other clerical functions.  Administrative assistant will also be responsible for all international shipments to our current customers.

Answering and screen phone calls, forwarding calls/voice messages
Receiving, opening, sorting, and distributing mail
Greet and check in visitors
Maintain reception area
Managing meeting room availability
Assist with internal company events
File, scan, and maintain documents
Maintain updated phone/email lists
Assist with office supply orders, organize/maintain office supplies, and distribute office supplies, as necessary
Assisting with other administrative tasks
Assisting with all international shipments
Communication with customs and third party shipping team
administrative tasks
Obtaining clearance from customs
Working with shipping department to create labels
Assist with clerical duties in relation to shipping parts and tracking shipments
Follow up with customers as necessary
Previous administrative experience and fluency in Spanish is required.
 

Qualifications:

At least 2 years of previous administrative experience is required
Excellent verbal and written communication skills
Strong organizational skills
High level of professionalism and courtesy
Ability to work well with others, ability to remain professional and respectful at all times
Familiarity with multi-line telephone systems
Discretion and confidentiality is required
Proven administrative assistant responsibilities, systems, and procedures
Proficiency in MS Office (MS Excel, MS Word, MS PowerPoint, and MS Outlook)
Hands on experience with office machines (i.e. computers, printers, etc.)
Familiarity with email scheduling tools
Excellent attention to detail and problem-solving skills
Excellent written and oral communication skills
Fluency in reading, writing, and speaking Spanish is required
