Job Summary:
We are seeking a detail-oriented and experienced Paralegal or Legal Assistant to join our property management team in Ossining, NY. The ideal candidate will have a strong background in real estate law, with expertise in managing legal documents, such as lease agreements and Letters of Intent (LOIs), and handling communications between landlords, tenants, and vendors. This role requires a proactive individual who can work independently and efficiently in a fast-paced environment, ensuring compliance with all legal standards and regulations.

Key Responsibilities:

  • Lease Agreement Management: Draft, review, and edit lease agreements to ensure compliance with legal requirements and company policies.

  • Letters of Intent (LOIs): Prepare, review, and manage LOIs, ensuring accuracy and alignment with property management objectives.

  • Communication Management: Facilitate and manage all legal communications between landlords, tenants, and vendors, ensuring clarity and accuracy.

  • Legal Research: Conduct legal research as needed to support property management decisions and ensure compliance with local, state, and federal regulations.

  • Document Management: Organize, maintain, and update legal documents, files, and records related to property management.

  • Dispute Resolution: Assist in resolving disputes between landlords, tenants, and vendors by providing legal support and documentation.

  • Compliance Monitoring: Ensure that all property management practices comply with relevant legal requirements, including lease agreements and vendor contracts.

  • Support for General Counsel: Provide administrative and legal support to the General Counsel and property management team.

Qualifications:

  • Education: Associate or Bachelor’s degree in Paralegal Studies, Legal Studies, or a related field.

  • Experience: 3-5 years of experience as a paralegal or legal assistant, preferably in real estate or property management.

  • Technical Skills: Proficiency in using automated tracking systems for managing legal documents and communications. Familiarity with property management software is a plus.

  • Legal Knowledge: Strong understanding of real estate law, lease agreements, and property management practices.

  • Communication Skills: Excellent written and verbal communication skills, with a keen eye for detail.

  • Organizational Skills: Ability to manage multiple tasks and projects with a high degree of accuracy and efficiency.

  • Problem-Solving Skills: Strong analytical and problem-solving abilities, particularly in handling legal disputes and contract issues.

  • Professionalism: Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

Work Environment:

  • Location: Office-based in Ossining, NY.

  • Hours: PART-TIME, Monday through Friday, with occasional flexibility required for deadlines or urgent matters.
