Job Title: Executive Assistant (Real Estate Contracts)

About Us: Savage Search Associates is partnered with  a leading a leading commercial property management firm dedicated to providing their clients with Class A service for over 50+ years in Orange County, CA.; they pride ourselves on our commitment to excellence, innovation, and client satisfaction.

Position Overview: We are seeking a highly organized and detail-oriented Executive Assistant to join the Legal team. This role will primarily focus on supporting the executive team with real estate contract management and administration. The ideal candidate will possess exceptional organizational skills, strong attention to detail, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

  • Manage and organize a high volume of real estate contracts, ensuring accuracy and completeness.
  • Review contracts for compliance with company policies, legal requirements, and industry standards.
  • Coordinate contract negotiations and communicate with internal stakeholders and external parties as needed.
  • Maintain an organized filing system for contracts and related documentation.
  • Assist in the preparation of contract templates, amendments, and other legal documents.
  • Track contract expiration dates and facilitate contract renewals or terminations as necessary.
  • Provide executive administrative support to the Legal team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Handle confidential information with discretion and professionalism.

Qualifications:

  • Proven experience (3 years) in a similar role, preferably in the commercial eal estate property management industry or legal field.
  • Strong understanding of real estate contracts and terminology preferred.
  • Bachelor's degree in Business Administration, Real Estate, Legal Studies, or related field preferred, but not necessary.
  • Exceptional attention to detail and accuracy and able to perform tedious contract review duties.
  • Excellent organizational and time management skills.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and property management software.
  • Ability to work independently with minimal supervision and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
