Project Administrative Assistant

The project administrative assistant will be responsible for ensuring proper efficiencies applicable to all construction and project related tasks. This position will support and work with the project managers as well as outside subcontractors, suppliers, and clients in an effort to secure successful project completion.
The successful candidate will fulfill the following list that includes but is not limited to:
· Receive, sort, process, log and file all project information into construction project software (TEKLA PowerFab, QuickBooks, etc.). Includes receiving and preparing information from subcontractors, including purchase orders, change orders, submittals, RFI’s and transmittals.
· Maintain written and electronic records for each project, including but not limited to permits, insurance certificates, specs, mill certs, etc.
· Support Project Management Team with documentation needed for opening and maintaining ongoing projects.
· Prepare materials for construction meetings and occasionally be on site to take notes.
· Run routine reports and log in RFP’s and RFQ’s.
· Maintain effective and professional communication with internal project team including sub-contractors, site foreman, architects, and designers.
· Maintain effective and professional communication with external clients including building owners, client reps, and construction managers.
The successful candidate will have the following:
· 1+ years of current experience working for a construction company would be ideal, but not required.
· 3+ years administrative experience working with a small team. Strong knowledge of basic office equipment.
· Must have strong Excel, Word, Outlook/G-mail skills along with excellent data entry skills. *Experience working with project management software or accounting software is ideal but not required. Knowledge of QuickBooks and/or other construction software a plus.
· Very strong at multi-tasking and the ability to work in a very fast paced environment.
· Strong verbal and written communication skills.
· Highly organized and detailed with processing information.
