The ideal candidate will have flexible availability for part-time hours during the week and the occasional ability to work full-time hours when providing coverage for days off and vacations. Candidates who have previous administrative experience supporting executives and company leaders would be a plus, as would any prior hospitality/private Club experience. The ideal candidate will have a professional, polished appearance and the ability to maintain confidentiality with all information.

Duties include:

  • Answer and screen phone calls, take messages, transfer calls, provide general information and assist with requests.
  • Assist with incoming and outgoing mail and packages.
  • Assist with Board and Committee meeting preparations which include printing, copying, scanning, collating, shredding, for example.
  • Organize and maintain office supplies.
  • Assist with special projects, data entry, and mailings in the office as well as with other departments.
  • Greet members, guests, and staff who come to the office.

Skills include:

  • Ability to communicate clearly, calmly, and professionally.
  • Proficient use of Microsoft Office including Outlook, Word, and Excel.
  • Capacity to learn and develop skillful use of Northstar software – membership database, as well as a strong understanding of the other modules.
  • Previous use or capacity to learn other office software tools such as Adobe, Avery and equipment such as a postage meter machine, printer/copier/scanner and shredder.
  • Ability to multi-task and adjust workload based on various/changing deadlines.
  • Possess strong organizational skills and attention to detail.
