Job DescriptionJob Description

We are a well-established construction company in business for over 30 years seeking an Administrative Assistant to join our team. You will perform clerical and administrative functions that support and drive company success.

 

Responsibilities:

· Draft general correspondences and other formal documents such as project proposals

· Plan and schedule appointments and events with clients and subcontractors

· Greet and assist onsite guests such clients, subcontractors, architects and design teams

· Receive inbound telephone calls and relay messages and inquiries

· Maintain organized online and physical filing systems

· Perform general office tasks as instructed by daily work orders

· Assist in procuring material and supplies, and acquiring work permits

· Gather and organize weekly timecard submissions for payroll and invoicing

· Track staff PTO balances and maintain calendar

· Acquire parking variances on job sites

· Create employee schedules for weekly distribution

Qualifications:

· Previous experience in office administration with knowledge of the construction industry preferred

· Ability to prioritize and multitask

· Working knowledge of Microsoft business applications

· Excellent written and verbal communication skills

· Ability to build professional relationships and act as a team player

· Strong attention to detail

· ​Strong organizational skills
