Aculon, a rapidly growing San Diego based specialty chemical manufacturer is seeking a highly motivated individual for a full-time role as Senior Customer Support and Executive Administration Specialist.
The right candidate must be excellent at multitasking – supporting the CEO at all levels while scheduling meetings, answering emails, handling inbound calls, making outbound calls, providing customer support and supporting our sales throughout the world. The ideal candidate must have a positive attitude, courteous demeanor and a high level of personal integrity. You need to be a mature, motivated self-starter and be willing to provide excellent executive support, and customer service.
Key areas of Responsibilities
Executive Administration:
- Report directly to CEO to provide administrative support
- Handle details of a highly confidential and sensitive nature which require in-depth knowledge of company operations, policies, and procedures
- Extensive calendar management and project coordination for CEO
- Assists CEO with Expense Reports
- Organize Records and Action Items for Key Accounts
- Partners across organizational groups to deliver outcomes
Customer Support:
- Assist CEO and serve as point of contact for select inbound customer inquiries- Support the sales screening process by intake of inbound calls, make initial product and services to customers
- Responsible for gathering customer's business and technical to ensure compatibility with Aculon products and services
- Review and confirm inbound purchase orders for customer requirements and notification of sales and operations.
- Responsible for laying the groundwork to create targeted marketing campaigns
-Maintain computerized customer and prospect database (Salesforce)
- Assist in the preparation of supplier forms and qualification for Customers
-Assist in conducting market research
Mandatory Experience & Skills
- Min 3 years of experience as Executive Assistant
- Min 1-3 years in Customer Service in a Technical Field (Preferred)
- Excellent written and verbal communications
- Punctual, Professional, Detail-oriented and thorough
- Demonstrated ability to work in a team environment
- Strong proficiency Microsoft Office Suite (Excel, Outlook, PowerPoint and Word) applications
General Qualifications/Requirements:
- BA/BS Degree in science oriented discipline or the equivalent experience in a technical field
- Must be efficient multi-tasker
- Ability follow instructions with a high degree of accuracy
- Responsible for meeting order/project objectives
- Results oriented and able to work under pressure
- Excellent Written and Oral Communication Skills
- Excellent Interpersonal skills
- Excellent computer skills (Word, Excel, Outlook, PowerPoint, and Monday.com)
- Self Motivated and Driven
- Excellent Organizational and Time Management skills
- Willingness to learn and take on new challenges
