Job Summary: We are seeking a highly skilled and organized Executive Assistant to support the CEO in managing multiple companies. The ideal candidate will be proactive, detail-oriented, and able to handle a wide range of administrative and executive support tasks with a high level of professionalism and confidentiality.


Key Responsibilities:

1.Administrative Support:

  • Manage the CEO’s calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain files and records, ensuring confidentiality.

2.Communication:

  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen and direct phone calls, emails, and other communications.
  • Draft, review, and send communications on behalf of the CEO.

3.Meeting Coordination:

  • Plan and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure the CEO is well-prepared for meetings and engagements.

4.Project Management:

  • Assist in the planning and execution of special projects and initiatives.
  • Track project timelines and deliverables, ensuring deadlines are met.

5.Travel and Event Management:

  • Arrange detailed travel plans, itineraries, and agendas.
  • Coordinate events, conferences, and speaking engagements.

6.Relationship Management:

  • Build and maintain relationships with key stakeholders, clients, and partners.
  • Represent the CEO in a professional and courteous manner.

7.Office Management:

  • Oversee office operations and procedures.
  • Liaise with facility management and IT support as needed.


Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Proven experience as an executive assistant or in a similar role.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Flexibility to adapt to changing priorities and deadlines.
  • Experience in project management is a plus.
