Position: Executive Business Partner to the CEO

Location: Full-time position based in Tampa in office.

Travel: Available as needed (1-2 times a year, if any)

Availability: On-call, as needed.

Job Summary:

As an Executive Assistant, you'll work closely with a tight-knit team that sets the entire company up for success.

In this role, you'll serve as one of the primary individuals responsible for the CEO and executive staff members. Your primary responsibilities will include supporting the CEO with both personal and business-related tasks.

In this role, you'll be responsible for a wide range of tasks, including researching, booking, arranging travel, office management, and handling business and personal tasks for the CEO.
Key Responsibilities:
Manage projects on behalf of the CEO to ensure that the team is held accountable.
Assist and communicate with executives in decision-making, program management, and initiative
Host and document project status from these meetings, ensuring accountability for all attendees.
Manage the Asana task list of activities, including tasks assigned to team members. This ensures transparency to the Lead Executive Assistant & CEO and effective cross-collaboration within the Leadership Team.
Remind executives of important tasks, due dates, and decisions to be made.
Research and purchase gifts for both business and personal occasions.
Promote transparency within the Company through collaboration and communication.
Effectively and kindly communicating with team members and external stakeholders while representing the CEO level professionalism is crucial.
You should also be able to think ahead and ensure that all relevant stakeholders are informed about all details.
You will also assist with workshop tasks as needed by the People Operations team.
You will also conduct appropriate research on behalf of the Executives to help them focus on new projects, ventures, and other important matters.
The Executive's calendar is pre-planned each week or created and reviewed the week before. This ensures that time is made for important meetings and activities.

Requirements:
You should be able to work well under pressure and in fast-paced situations.
You should be able to adapt to the rapid growth of the company.
You should have proven success in project management.
You should have high managerial skills.
You should be familiar with administrative systems and SOPs.
You should have strong communication skills, including discretion, confidentiality, adaptability, active listening, precision, and articulation.
You should also be able to learn new software quickly.
Proficiency in writing emails, memos, reports, and other documents with clarity, precision, and a positive attitude is essential.
Ability to maintain accuracy and discretion under high-level administrative tasks, such as coordinating executive schedules, preparing executive presentations, and managing travel logistics, is crucial.
Anticipating the CEO's 3-5 steps ahead is key.

The ideal candidate resides in Tampa, FL.
Willingness to be on-call as needed is required.
Flexibility to be available outside of "working hours" is also essential.
