Job Title: Documentation Specialist


Location: Valley Stream, NY


Job Summary:


We are seeking a detail-oriented Documentation Specialist to join our team in Valley Stream. The successful candidate will be responsible for creating, managing, and maintaining documentation across various departments. This role involves ensuring that all records are accurate, up to date, and compliant with company policies and regulatory standards.


The Documentation Specialist will collaborate with multiple teams to facilitate effective communication and information sharing.


Key Responsibilities:


Document Creation and Management:


  • Develop and maintain detailed, clear, and organized documentation for various departments (technical manuals, training materials, process documentation, etc.).
  • Update existing documentation to reflect changes in processes, policies, or technologies.
  • Ensure consistency in style, formatting, and terminology across all documents.


Data Entry and Quality Control:


  • Accurately input and manage large volumes of data.
  • Conduct regular reviews and audits of documents to ensure accuracy and completeness.
  • Implement and maintain version control for all documentation.


Compliance and Standards:


  • Ensure all documentation complies with legal, regulatory, and industry standards.
  • Work closely with compliance teams to ensure adherence to company policies.
  • Maintain confidential and sensitive information with utmost discretion.


Collaboration and Support:


  • Collaborate with various departments (e.g., IT, HR, Finance) to collect information and ensure accuracy of documents.
  • Support teams with troubleshooting and resolving documentation-related issues.
  • Provide training to staff on document management systems and procedures.


Document Management Systems (DMS):


  • Manage and maintain the company's electronic document management systems.
  • Assist in the organization and digitalization of physical documents.
  • Ensure secure storage and accessibility of documents.


Qualifications:


  • Education:
  • Bachelor’s degree in Business, Communications, Information Management, or a related field preferred.
  • Experience:
  • Minimum of 2-3 years of experience in documentation, records management, or a similar role.
  • Experience with documentation management systems and software (e.g., SharePoint, DocuWare).


  • Skills:
  • Excellent written and verbal communication skills.
  • High level of attention to detail and organizational skills.
  • Ability to work independently and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong research and data analysis skills.


Preferred Qualifications:


  • Familiarity with ISO standards or other quality management systems.
  • Knowledge of industry-specific documentation (such as legal, medical, or technical).


Work Environment:


  • This position is based in Valley Stream, NY, with a hybrid work schedule possible.
  • The role may require occasional travel to company sites for meetings or document-related tasks.
