Role

Range 4 is distinguished by broader management responsibility, particularly in the areas of finance, human resource and other support functions. Range 4 is responsible for managing a range of functions under a wide range of conditions, subject to the size and complexity of school operations. 

Objectives will, generally, be clearly defined; guidelines will be broad and day-to-day direction minimal. Management responsibility extends to ensuring appropriate support levels are maintained across the school. Range 4 generally provides key support and timely advice to the leadership team and school council and liaises with the general school community, the Department and other government agencies and service providers.

Specialised professional roles will carry a high level of independence and accountability where suitable scope is provided to achieve objectives.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Responsibilities

Manage the Principals/Directors office; determine priorities and provide timely and responsive administrative support.

Assist the Daily Organiser/Timetabler in daily tasks, when required. This involves completion of all aspects of this role including but not limited to: informing teachers and CRTs of all classes to be covered, extras to be taken, room changes & record keeping, accurate coding for payment purposes, management of CRT budget and liaison with leaders about work left for absent staff.

Support staff in conjunction with Business Manager, including school catering and required staff events.

Manage documentation, including policy and procedures and inform the Principal of matters requiring attention.

Research and prepare a range of correspondence such as but not limited to; School Council reports, Network material, speech notes, travel programs, college registration and annual reports, including minute taking when required.

Liaise on behalf of the Principal Class for contact/appointments both inside and outside the college.

Liaise with staff on behalf of the Principal Class.

Show initiative and leadership to problem solve complex tasks to support the Principal Class in the continuous and efficient operation of the college. 

As directed by the Principal provide executive assistance to Principal Class Officers within the College.

Act on behalf of the leadership team in the delivery of client services.

Use IT competently to support the work.

Provide a range of services to support the goals, values and behaviours of the Department and the College.

Other duties as directed by the Principal Class Team and Business Manager.

Truganina College is seeking to employ an outstanding and dynamic Executive Assistant to the Principal to take up this new role. The role is to provide high level administrative support across a range of complex tasks as well as lead and manage the college timetable and daily organisation functions.
