Job Overview:

The ABC Legal Receptionist oversees the general administrative operations of our HQ office in downtown Seattle, including oversight of facility building, grounds, equipment, and utilities. This customer facing role sits at the front desk and is responsible for greeting visitors, answering incoming phone calls and emails, managing an inventory of office supplies, and providing exceptional support to all employees and clients. The Receptionist works closely with the Facility Support team and HR to ensure the office is a safe, clean, and welcoming place for all employees.

Key Responsibilities:

  • Perform receptionist duties: Greet visitors, answer and direct phone calls and deliver world-class service to employees and customers
  • Answer telephone calls and emails from clients and direct them to appropriate staff
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Assist with office layout planning and office moves
  • Purchase office supplies and equipment and maintain proper stock levels
  • Partner with facility maintenance and HR Team to keep the office clean and safe and ensure its appliances are in good working order
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
  • Ensure that the facility is fully operational with all utilities functioning properly
  • Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment
  • Ensure compliance with state and federal regulations, and assist with energy management
  • Oversee security of buildings and grounds
  • Maintain ongoing communication with contractors, clients, and team

Qualifications:

  • Bachelor's degree in business administration, communications, or a related field preferred
  • 2-5 years of work experience in an administrative/office management role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Knowledge of OSHA and other environmental regulations preferred
  • Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management preferred
  • Must be proficient with Microsoft Office Suite
