Job Summary:

This position serves as the Administrative Assistant at the Tommy G. Thompson Center on Public Leadership. This position is a primary point of contact for all administrative management for the Center. Responsibilities of this position are performed independently and include: working directly with the Center's staff and student hourlies on finances, budgets, expenditures, and other program support; and making day-to-day decisions on office and organizational needs. This position is under the general direction of the Center's Assistant Director.
This position requires a comprehensive knowledge of, and ability to interpret and analyze college and university policies, state and federal laws, rules and regulations relating to accounting and purchasing, travel expense reporting, time management, and record maintenance. This position requires excellent customer service skills, project management, organizational skills, facilitation and negotiation skills, and the ability to interact positively and independently with university administration, faculty, staff, students, and the community. Requirements include strong oral and written communication skills, management skills, good judgment and decision-making ability, data interpretation and analysis, exacting attention to detail and prioritization, as well as the ability to handle a wide variety of tasks simultaneously. The position also requires an ability to manage social media and develop pages for and edit websites. The incumbent of the position must have a high comfort level in working directly with persons of differing political opinions and ideologies.



Responsibilities:
Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.
  • 10% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 20% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • 20% Prepares and audits complex records, edits documents, and reviews work done by others
  • 20% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • 30% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
