Grant Program Coordinator - GI Medical Oncology

Summary

The primary purpose of the Grant Program Coordinator position is the submission of grant proposals to federal and non-federal sponsors. This position will work with principal investigators to coordinate grant submissions, grant renewals, progress reports, and other documents as needed for the proposal submission to the Office of Sponsored Programs (OSP), and the sponsor.

Key Functions

Pre- Award - (80%)

Responsible for all components of grant submission. Ensure that the proposal is formatted, packaged, approved in RCTS, or designated MDA application and submitted in accordance with granting agency requirements and due dates.

Must be proficient in developing budgets for research grants and contracts. Demonstrate knowledge of resources required for laboratory-based research budgets, i.e. laboratory supplies, core facility services, consultants, research staff, etc. Demonstrate knowledge of funding requirements, including areas of flexibility and approvable options.

As necessary, participates in the preparation, submission, review, approval, contract negotiations, and reporting of sponsored projects contractual agreements using RCTS.

Provides administrative planning and submission of grants and contracts under the guidance of the Program Manager. Proficient with grant documents such as biosketches, other support, progress reports and stays up to date of modifications.

Responsible for assigned pre-award activities including initial planning, budget review and preparation.

Works in conjunction with other departmental personnel, including the Financial Team, Regulatory Team, and Study Team, in performing requested administrative duties related to sponsored project agreements.

Coordinates the implementation of systems, policies and procedures affecting the submission, review, and approval, contract negotiation, activation, regulation of grants.

Maintain and organize assigned grant files according to established protocols, including maintaining file of complete award documents including submission of grant deliverables.

Prepares budgets, coordinates pre-site and site visits, coordinates and prepares meeting agendas, establishes timelines, and ensures prompt submission of necessary materials from investigators.

Assists in managing fund and fund allocation across multiple projects and reports appropriately.

Mentors and develops others in the grant program process.

Acts as a liaison with appropriate institutional and external counterparts (e.g. ORA, IACUC, IBC, OPR, OSP, CRF, Grants and Contracts, and other sponsors).

Research and identify potential grant funding opportunities that align with the department's mission and goals

Post-Award - (20%)

Maintains knowledge of grant and contracts funding policies, research funding announcement, regulations, and procedures; disseminates and/or presents changes to the department and advises on the implementation of changes and on the impact of changes on funded operations.

Works closely with the Finance Team by providing updates on post-award activities including salary budgets, grant expenditures with personnel effort, compliance monitoring, no-cost extensions, final reports, and close-outs.

Provides estimates to investigators regarding needs and cost of personnel, equipment, and supplies over the period of the proposed grant.

Monitors rates of expenditures on grants and contracts and proactively advises the PI and management of all necessary changes in salary support and other expenditures to ensure zero balances at study expiration. Ensures expired accounts are closed in a timely manner. Attends and actively participates in the Grant Management meetings. Requires complex account review, analysis, projection and problem resolution.

Efficiently maintain all subcontract activities for assigned faculty, including initiating subcontract setup process, interfacing with subcontract sites, performing monthly tracking of all contract and subcontract invoicing and payments for all sponsored projects and contracts.

Facilitate post-award budgetary changes, no-cost extensions, and request approval from external agencies, as needed.

Monitoring grant activity, including unallowable/ administrative expenses, throughout project lifecycle to ensure compliance. (perhaps they can approve orders at some point)

Processes BAFs, Advanced Set-ups, expense transfers, and assist with effort certification.

Other duties as assigned.

Education Required - Bachelor's degree.

Experience Required - Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis. With preferred degree, one year of experience required.
