Position Overview:

The role involves providing support to the Grants Manager and departments funded by grants in the planning, management, and coordination of daily financial operations. This includes ensuring the accurate execution of accounting functions related to reporting, budgeting, and compliance with applicable State and Federal regulations.


Key Responsibilities:

  • Oversee and direct billing processes associated with grants for client services.
  • Manage grant funds using accounting software.
  • Track grant progress and deliver updates to the Grants Manager and relevant department leadership.
  • Collaborate with the Grants Manager to complete all necessary financial reporting, data entry, management, and analysis related to grants.
  • Assist in the review and evaluation of the grants budgeting process, ensuring adherence to generally accepted accounting principles and standards.
  • Maintain organized files for grant budgets.
  • Help coordinate the ongoing budgeting process, which includes compiling, analyzing, and monitoring grant budgets.
  • Establish and maintain accurate reporting files, verifying their correctness upon completion of processes.
  • Conduct year-end grant closing activities and support external audits.
  • Work closely with the Accounts Payable Specialist to gather data required for monthly financial reports.
  • Engage in quality management and assurance activities.
  • Ensure consistent attendance.
  • Perform additional tasks as assigned by the Grants Manager and Chief Financial Officer.

Qualifications and Skills:
A Bachelor’s degree in Accounting is required, while a Master’s degree in Accounting or Business Administration is highly preferred.


Candidates must possess knowledge of budgeting, accounting, and auditing principles, as well as computerized accounting systems and procedures. Familiarity with record-keeping techniques and the technical aspects of budgeting is essential. Proficiency in using various software applications is also required.

Ability to conduct technical accounting work related to auditing financial and statistical records, analyze and resolve issues, maintain records, and prepare clear financial analysis reports is necessary. Candidates should be capable of working independently, accurately assessing situations, and adopting effective courses of action while meeting deadlines. Strong organizational skills, discretion in handling confidential information, and effective communication skills, both written and verbal, are crucial.

A solid foundation in fund accounting is essential.

Continuing Education Requirements:
Participation in training mandated by the funding source or licensing board is required.
