Responsibilities:

Position Summary:

Supervisor is responsible for coordinating and ensuring accurate and timely scanning and indexing of paper patient health information into the hospital's electronic health record system. Provides oversite of the scanning staff. Conducts quality performance audits to ensure documents are uploaded to the correct patient and visit.

Essential Job Functions:

  • Supervision: Acts as a coach and positive role model for staff and colleagues establishing/maintaining a work environment that fosters positive morale; addresses performance issues and applies corrective action or discipline when needed; handles recruitment and selection for unit addresses fitness for duty issues; manages staff in compliance with all union agreements; ensures compliance with all established policies, procedures and legal guidelines; maintains a safe workplace in accordance with policies; manages resources effectively and responsibly. 50%
  • Develops quality metrics and reports to ensure each document imaging process step is performed to the highest degree of accuracy and monitors trends on a regular basis. Through training and education, assures employee competence and licensure for each task or duty assigned. Maintains and provides appropriate documentation regarding staff, including JCAHO compliance files. 15%
  • Develops and establishes all document imaging process and procedures to support patient care and research. Assures timely access to all patient health information while maintaining integrity of the records. Acts as Data Steward by following appropriate procedures regarding requests, access and disclosure of PHI in accordance with HIPPA regulations, and takes necessary precautions to prevent unauthorized access. Establishes process that improves operational efficiencies within work unit. Effectively manages workload and delegation of work. 25%
  • Contributes to the strategic planning process related EMR applications, and serves as an SRM application expert for training and education, process improvement and tactical implementation of such systems and applications. Insures that equipment is appropriately utilized and preventive maintenance is completed on schedule and documented. Tests all hardware and software upgrades and recommends software functionality, enhancements to software vendors as need is identified. 10%

Required Qualifications:

  • Understanding of HIPAA regulations and safeguarding protected health information (PHI)
  • Two years experience working in healthcare with health records, performing health record maintenance
  • RHIT certification
  • Previous experience working with medical files in a medical record environment
  • Must possess the skill, knowledge and ability essential to the successful performance of assigned duties
  • Must demonstrate customer service skills appropriate to the job
  • Knowledge of document imaging applications and processes
  • Excellent written and verbal communication skills in English
  • Demonstrated supervisory experience, preferably in an acute care medical records setting
  • Demonstrated knowledge of alpha/numeric filing systems
  • Ability to multi-task, prioritize and organize daily responsibilities
  • Ability to maintain confidentiality of records and information.
  • Ability to maintain a work pace appropriate to the workload
  • Ability to identify, develop and implement process and procedure improvement


Preferred Qualifications:

  • Technical knowledge of Solarity, OnBase software applications and clinical information systems as relevant to health information management
  • Technical knowledge of HIMS software applications and clinical information systems as relevant to health information management.
  • Knowledge of medical terminology
