Primary mission:

Overall Supervision and monitoring the hotel operations, systems and programs in the Reservations Department for the 4 hotels which are part of the West Hollywood Collection. Responsible for monitoring, managing and maintaining group and transient inventories to ensure the most effective and efficient balance between demand and availability in the hotel's continuing effort to deliver outstanding guest service and financial profitability.

SCOPE OF WORK + TEAM Reports to Regional Director, Revenue Management Supports special events team for the West Hollywood collection RESPONSIBILITIES Although the reservations phone line is managed by central reservations department, you as the Area Reservations Coordinator on property manages some booking channels, Guest recognition, on-site Reservation's function, centralized emails and ensuring all information required for guests are seamlessly communicated to the various departments. You will work closely with the Front office and the Sales team members to ensure their requests and queries are supported to achieve revenue objectives. the Area Reservations Coordinator also works closely with the Area Director of Revenue management to implement Yield and Sales strategies. You will report to the Area Director of Revenue Operations and works closely with the Front Desk and Sales and Marketing team and the General Manager in managing all transient reservations, VIP requests etc. You are a key in driving rates and revenue throughout the hotel by effectively and efficiently managing the guest experience. This position is fast-paced, varied and requires fostering connections with many areas of the hotel to positively affect all departments. Four critical areas for success will include proven accomplishments in People Leadership, high level of guest experience, Financial/Analytical Skills and attention to detail. You help create and embrace an environment that empowers team members to deliver best in class results Looks for sources to maximize the revenues and potential upsells Conducts Pre arrival call with guests when needed Communicate effectively with the hotels at various levels within the organization in both verbal and written form You must be a motivated leader and be able to develop those skills in the team that supports you. You have a consistent approach accountability to ensure the constant delivery of excellent guest service You have a true passion for being innovative and ability to quickly adapt to changing environments/demands with the ability to multitask is a key part of the job. You are competent in using various hotel IT systems on daily basis (Opera experience is essential) and be capable of keeping accurate records of revenue and booking levels Execute other work duties and requests based upon Collection's needs QualificationsEXPERIENCE:Prior Experience:Minimum of 2 years Reservations and Front Desk experience or employment in a related position with this company or other organization. Experience with Opera Reservations systems if HIGHLY desired This position is located in West Hollywood, CA and MUST be on site at the property Must be computer literate, knowledge of Word and Excel Must be able to work all shifts including weekends Must have excellent verbal and written skills Must be detailed oriented Strong phone skills needed IT Expertise: Advanced knowledge of computer software (including Microsoft Office, outlook) and web analytics tools is preferred. Education: Four years of post-high school education or equivalent experience Subject Expertise: Supervise the daily operations of the Reservations area to ensure compliance and consistency with policies, procedures, sales programs and techniques and maintenance of equipment Ensure phone is answered within 3 rings and that all reservation request and CRR's are replied to within 24 hours resulting in a positive reservation conversion Supervise the Group Reservation Coordinator and ensure accurate operation of group reservations Manage the daily oversale strategy in liaison with the front office teams Direct Point of contact for VIP's. Facilitate requests and amenities Transient & Group commission processing Opera rate configuration Key Liaison between Call center and properties Monitor upselling programs and software Collect ancillary revenues such as no-shows, cancellations etc. Payment reconciliation for third party reservations prior arrival Billing dispute and folio research Assist with Reservation training for new associates Pre-arrival communication with guests Manage FIT reservations and submit stop sales according to Yield Strategy OTHER EXPECTATIONS: Abide by payroll policies, procedures and rules of conduct as stated in the Springboard Hospitality Associate Handbook.
