This position plays a vital role in representing the credit union professionally while engaging with members and the public, both via phone and in person. The primary duty is to ensure that all individuals are directed to the appropriate personnel for assistance.

Key Responsibilities:

  • Welcome and guide office personnel and visitors at the reception area.
  • Familiarize yourself with current staff members to ensure safe and efficient traffic flow.
  • Manage package deliveries and oversee mail sorting and distribution.
  • Handle outgoing shipments via FedEx and UPS.
  • Respond to Facilities and Security Help Desk inquiries.
  • Maintain office security by adhering to safety protocols and controlling access at the reception desk (keeping a logbook, issuing visitor badges, etc.).
  • Order and manage office supplies for communal areas throughout the facility.
  • Update calendars and coordinate inspections and meetings as required.
  • Keep accurate records of office expenditures.
  • Assist with security reports and investigations.
  • Organize and manage Facilities/Security shared files and folders.
  • Act as a liaison for facilities and security matters.
  • Coordinate with courier services as necessary.
  • Support the facilities and security department as needed.
  • Assist with budget planning, proposal requests, and the bidding process.
  • Help with scheduling and tracking facilities projects.
  • Participate in emergency evacuation and security training.
  • Ensure cleanliness and maintenance of the BrightStar Cafe.
  • Oversee weekly cleaning of refrigerators to prevent spoilage.
  • Ensure coffee supplies and water are replenished for training room users.
  • Collaborate with maintenance staff to cover shifts as needed.
  • Perform additional related duties as assigned.
  • Maintain knowledge of B.S.A. Compliance training.

Performance Metrics:

  • Deliver exceptional service to both internal and external members as defined by our service standards.
  • Answer phone calls and greet all members and associates accurately and professionally.
  • Direct all phone calls to the appropriate personnel with minimal transfers.
  • Maintain a professional appearance and demeanor when welcoming visitors.
  • Keep all assigned files current, ensuring daily updates.

Qualifications:

Experience: A minimum of two years in a related role.

Education: At least a high school diploma or GED.

Interpersonal Skills: This role involves interaction with colleagues and external contacts, requiring courtesy and effective communication.

Other Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint) is essential. The candidate should exhibit a confident and friendly voice, along with good diction. The ability to work independently and possess excellent telephone and in-person etiquette is crucial.

Compliance:

Employees are expected to adhere to the credit union's compliance with the Bank Secrecy Act and anti-money laundering policies. Awareness of unusual or suspicious activities relevant to the department is essential.

  • Complete any assigned training courses, including online B.S.A. and O.F.A.C. courses, at least annually.
  • Maintain comprehensive knowledge of the Bank Secrecy Act, Customer Identification Program, U.S.A. Patriot Act, O.F.A.C., Fair Lending, and Credit Card Act.
