Zonda is looking for a passionate Office Assistant to help create, evolve, and expand our team. Zonda looks for people who can grow, think, dream, and create. Responsibilities:

HR Admin Tasks

  • Work with HR/IT teams to prepare desk/office space as needed for new hires in Austin
  • Coordinate access for Austin new hires/visitor employees (parking validation, key cards, etc)
  • Work closely with HR regarding new hires to ensure all equipment arrives in time and they have access to all the tools they need


IT Admin Tasks

  • Assist with Travel arrangements
  • Assist with IT vendor contract initiations, renewals, and cancellations
  • Manage all IT vendor invoices and credit card charges and reconcile invoices and ensure they align with the contract
  • Manage printer leases and support dispatch calls
  • Manage storage units


General Office Tasks

  • Work cross-functionally with teams on various projects when support is needed
  • Open mail, scan, and distribute to the correct departments
  • Prepare FedEx shipping as needed for the office
  • Assist with ordering/receiving/distributing Austin office supplies, stamps, and other kitchen items
  • Send out letters as needed (very limited) including certified mailings for collection notices
  • Arrange lunch deliveries for team meetings
  • Ship trade show materials for events
  • Handle local event planning and schedule meetings
  • Other various tasks to support the business


Skills

  • Microsoft Office (Strong PPT and Excel)
  • Able to work in a busy environment with multiple stakeholders and ensuring all tasks assigned are completed
  • Ability to read over contracts and provide details like auto-renew, termination notification, and other items relevant to services the vendor providers
  • Experience managing vendor payments and ensuring services are validated and invoices are being paid
  • Strong communicator
  • Detailed oriented
