Senior Executive Secretary to the Managing Partner


JOB DESCRIPTION

The Senior Executive Secretary must provide confidential, high-level administrative

support to the Managing Partner by conducting research, preparing statistical reports, handling

information requests and performing clerical functions such as preparing correspondence,

receiving visitors, arranging conference calls, and scheduling meetings.



Essential Functions:

• Maintaining complete confidentiality of sensitive materials and matters pertaining to the

business of the Firm.

• Manage and maintain the Managing Partner’s schedule.

• Help to set priorities daily to assist the Managing Partner to proactively meet deadlines and

communicate effectively.

• Prepare invoices, reports, memos, letters, financial statements and other documents, using

word processing, spreadsheet, database, or presentation software.

• Manage, prioritize and complete daily expense reports and all Firm requests for events,

outings, contributions and all related Firm expenses.

• Read and analyze incoming memos, submissions, and reports to determine their significance

and plan their distribution.

• Open, sort, and distribute incoming correspondence, including faxes and email.

• File and retrieve corporate documents, records, and reports.

• Act as a “gatekeeper” for the Managing Partner and as a liaison and point of contact between

Members, employees and clients.

• Prepare responses to correspondence containing routine inquiries.

• Exercise sound judgement in trouble shooting sensitive issues that affect the Firm and the

Managing Partner.

• Make travel arrangements



Competencies:

• Proven work experience as a Senior Executive Secretary (6 years+);

• Strong secretarial organizational skills;

• Ability to multitask and work under pressure;

• Extraordinary attention to detail and proofreading;

• Excellent written, communication and interpersonal skills;

• Proven ability to maintain and handle sensitive and confidential matters;

• Ability to work independently and complete a high volume of work in a timely manner;

• Proficiency with Microsoft Office.

• Professional presentation and demeanor at all times;

• Flexibility to occasionally arrive early or stay late as necessary.
