Position Title: Medical Administrative Assistant

Location: Minneapolis (100% onsite)

Hours: M-F 8:30-5

Pay: $22-$25/hour

Job Duties:

  • Handle incoming phone calls, assist with patient rooming, and manage scheduling.
  • Create and maintain patient profiles in the system, including entering demographic, doctor, and insurance information.
  • Contact patients on the calling list to schedule their appointments.
  • Manage the secure intake process, including collecting co-pays, HIPAA forms, and insurance details.
  • Provide practitioners with patient information, announce patient arrival, and escort them to assigned rooms.
  • After patient visits, relay practitioner instructions and review costs, insurance information, and estimated payments.
  • Coordinate out-of-office appointments for patients needing to visit other clinics.
  • Maintain stock of patient and employee forms in the lobby and break room.
  • Handle administrative tasks such as opening and distributing mail, listening to voicemails, and forwarding messages to the appropriate personnel.
  • Ensure all practitioner notes and documentation are complete and that a follow-up plan is established.
  • Order office supplies weekly.

Requirements:

  • Preferred experience in clinic patient scheduling or a related office environment.
  • Knowledge of third-party payer coverage requirements, including Medicare regulations, commercial insurances, and workers' compensation insurance.
  • Ability to perform tasks such as reaching, lifting, moving around the office, and operating a computer and phone.
  • High school diploma required; an associate or bachelor's degree is preferred.
