Healthcare Administrative Coordinator

Position Title: Medical Administrative Assistant
Location: Minneapolis (100% onsite)
Working Hours: Monday to Friday, 8:30 AM - 5:00 PM
Compensation: $22 - $25 per hour
Key Responsibilities:- Manage incoming phone inquiries, assist with patient room assignments, and oversee appointment scheduling.
- Establish and update patient records in the database, ensuring accurate demographic, physician, and insurance details.
- Reach out to patients on the appointment list to confirm and schedule visits.
- Facilitate the secure intake process, which includes collecting co-payments, HIPAA documentation, and insurance information.
- Provide healthcare professionals with relevant patient data, announce patient arrivals, and guide them to their designated rooms.
- After consultations, communicate practitioner instructions and clarify costs, insurance coverage, and expected payments.
- Coordinate external appointments for patients requiring services at other facilities.
- Maintain an adequate supply of patient and staff forms in common areas.
- Perform administrative duties such as sorting and distributing mail, checking voicemails, and relaying messages to the appropriate staff.
- Ensure all practitioner notes and documentation are complete and that follow-up plans are established.
- Order office supplies on a weekly basis.
- Preferred experience in clinic scheduling or a similar office setting.
- Familiarity with third-party payer coverage requirements, including Medicare guidelines, commercial insurance, and workers' compensation.
- Ability to perform tasks involving reaching, lifting, and moving within the office environment, as well as operating a computer and telephone.
- A high school diploma is required; an associate or bachelor's degree is preferred.
