Gastroenterology/Internal Medicine Practice seeks experienced medical administrative assistant. We are interested in interviewing experienced candidates with excellent references only. As a medical administrative assistant, you should demonstrate excellent organizational skills and be able to multitask to ensure steady workflow and uninterrupted service in our medical office.
Responsibilities
1. Check patient insurance eligibility and update insurance and demographic information prior to every visit
2. Be familiar with Insurance plans accepted and not accepted
3. Collect co-pays and deductibles at time of visit. Assist billers in collection of insurance payments, outstanding copays, coinsurances and deductibles.
4. Submit billing sheets to Gastroenterology, Anesthesia and Pathology biller on procedure days and assess accuracy
5. Contact patients monthly with outstanding balances. Communicate with collection agency to submit new delinquent patient names
6. Review updated claims status on billing website and communicate with billing team
7. Print dictation letters and mail to referring doctors
8. Ensure referrals are received from referring doctors and generated to specialists prior to scheduled visit.
9. Be in charge of updated recall system and make sure letters are sent out monthly
10. Be in charge of updating doctor files with updated malpractice insurance information, licenses, DEA certificates and other important documents
11. Make sure appropriate forms are entered into the accreditation site for 3 month updates and inspections
12. Make sure annual biomedical inspection of equipment is scheduled and completed
13. Schedule appointments for office visits, procedures (colonoscopy and upper endoscopy) and follow up visits
14. Communicate with Vendors; need to make sure stock is updated and invoices are paid on an ongoing basis with no shortages of endoscopy/colonoscopy, medical and office supplies
15. Complete filing in a timely way
16. Perform pre authorization for procedures (when needed) as well as medications
17. Retrieve all information from NYU EPIC electronic medical record system necessary for patient visits
18. Print all pathology reports from Acupath and Bioreference
19. Print all labs
20. Arrange cleaning staff and emergency maintenance services as necessary
21. Maintain order, professionalism, efficiency and courtesy at all times
22. Schedule patients in EMR and take proper messages from patients and physicians
Skills
- Proven work experience as a medical administrative assistant (5 years or more preferred)
- Ability to handle medical records discreetly
- Knowledge of medical issues and terminology
- Excellent organizational and time-management skills
- Ability to multi-task
- Communication skills and a customer service orientation
- High School Diploma required and college degree preferred
- Salary commensurate with experience
Candidate should be professional, articulate, courteous with a strong work ethic and someone who enjoys their work.
