The Human Resources/Payroll Specialist will assist in handling the day-to-day operations of the HR Department on a professional level. The Specialist will carry out responsibilities in payroll processing for 200+ employees, benefits administration, onboarding, policy implementation, and employment law compliance. They will assist in payroll operations, ensuring accuracy and timeliness, prepare and distribute the company’s payroll, and manage changes as necessary. The Specialist will also prepare any necessary tax documents, maintaining up-to-date personnel information, oversee time keeping management, ensuring benefits and deductions are logged appropriately.


Essential Duties & Responsibilities:

  • Prepare and send candidate offer letters post verbal acceptance from Talent- using mail merge and preset templates – apply revisions to templates, if applicable
  • Responsible for all onboarding post acceptance – including but not limited to creating “E” file, execute NCA’s, notify related departments such as IT, L&D, and department leader
  • Create employee record in HRIS system
  • Responsible for E-Verify and verification of required identification
  • Assist with payroll-related functions including but not limited to salary adjustments, processing new hires, termination status changes, tax changes, wage garnishments, and direct deposit- ensure accurate taxation and garnishment is applied to employee accounts
  • Enter payroll data into payroll spreadsheet in a timely manner
  • Reviews timecards for all employees to make sure there are no errors
  • Adheres to all state and federal regulations for payroll processing
  • Distribute manual checks as necessary
  • Maintain employee records, provide support, and resolve issues related to HR topics such as time off, benefits, leave, status, and general inquiries
  • Resolve routine employee inquiries concerning payroll deductions and accruals, direct deposit, wage garnishments, child support payments, and employment verifications
  • Assist in distributing year-end tax-related information such as W-2 forms and total compensation statements
  • Promote HR programs to create an efficient and engaging workplace environment
  • Assist in the development and implementation of human resource policies
  • Assist with management of FMLA and/or related leaves and or disability accommodations
  • Performs general clerical


Skills & Abilities:

  • Maintain a high level of confidentiality and discretion
  • Understanding of general human resources policies and procedures
  • Knowledge of employment/labor laws and leave laws FMLA and ADA
  • Knowledge of all state and federal regulations to include Garnishments, ERISA, ACA, COBRA, EEO-1 reporting, etc.
  • Ability to make independent judgment as necessary
  • Proficient in Microsoft Office Suite
  • Excellent communication and people skills
  • Aptitude in problem-solving and resourcefulness
  • A desire to work as a team with results-driven approach


Education, Experience, Specialist Knowledge Requirements:

  • Strong familiarity with state and tax law, wage and hour laws, and common fiscal procedures
  • Understanding of company benefits such as 401(k)s, insurance, voluntary deductions, and ACA filing
  • Bachelor's degree in Human Resources, Business, or related field
  • 2 years of HR Generalist or Specialist Experience required with tasks and processes focused in payroll and benefits
  • Experience in the Healthcare Staffing industry a plus
  • Society for Human Resources Management (SHRM) Certification a plus
  • Experience with ADP or HRIS systems a plus
