Reporting directly to the HR & Payroll Director, the HR Specialist plays a crucial role in facilitating the effective operation of the HR department. The Ideal Candidate possesses:
- A bachelor's degree in human resources, business administration, psychology, or a related field.
- At least one year of experience in a Human Resources or recruitment capacity, with a solid understanding of HR principles, practices, and legal standards preferred.
- Proficiency in HRIS systems (experience with Paylocity is advantageous) and Microsoft Office Suite.
- Excellent communication and interpersonal skills, both written and verbal.
- Ability to thrive in a fast-paced environment while remaining adaptable and responsive.
- Strong judgment and decision-making capabilities.
- Attention to detail and effective time management skills.
- A high level of empathy, integrity, and confidentiality.
Key Responsibilities:
- Assists in crafting and placing recruitment advertisements and devising recruitment strategies for all non-exempt positions; screens candidates; processes employment applications; conducts initial interviews; verifies references; makes hiring recommendations and coordinates background checks, necessary documentation, and correspondence.
- Participates in the Employee Wellbeing Committee, devising and implementing initiatives to enhance employee morale and engagement. Organizes team-building events, recognition programs, and employee feedback surveys to promote continuous improvement.
- Processes payroll on a weekly basis, administers and maintains the HRIS, including onboarding new hires, managing merit increases, and handling termination paperwork.
- Oversees employee benefits programs, including reconciling monthly benefit statements, enrolling new employees, assisting with open enrollment, and submitting 401(k) contributions.
- Maintains all employee records electronically and, when necessary, in physical format.
- Aids in the facilitation of new hire orientation.
- Stays informed about evolving laws and regulations related to employment and payroll; ensures compliance with these standards.
- Develops and maintains a comprehensive library of job descriptions for each role.
- Collaborates with Department Managers to create training programs tailored to departmental needs.
- Works alongside the Communications department to establish effective internal communication strategies, ensuring bulletin boards, digital displays, and HRIS postings are current. Assists in soliciting articles, writing, and editing the quarterly Talon Talk newsletter. Publishes monthly milestones, including employee birthdays and anniversaries.
- Conducts stay and exit interviews, providing recommendations to department heads.
- Attends weekly departmental meetings across the organization, fostering strong working relationships throughout the company.
- Assists the General Manager/COO and Club President with managing their schedules, communications, and meetings.
- Answers phone calls for the General Manager, relaying messages and directing calls to the appropriate personnel. Makes and responds to phone calls as necessary.
