Executive Assistant

Duties:
Executive Business Coordination:
- Coordinate executive calendars for 2 offices (dual role for 2 executives)
- Coordinate weekly & monthly scheduling with other executive stakeholders
- Support business travel planning both domestically & international
- Support exec budget tracking & expense reporting
Executive Milestone Management:
- Collaborate with multi-office teams to support various milestone preparations as needed
- Collaborate with other exec admins for efficient scheduling (multiple parties)
- Establish & sustain relationship with key executive admins in the Sales and R&D pillars
General Executive Support:
- Support out of office requests & messaging
- Support technical resource requests i.e. IT equipment, laptop, iPad, upgrades, etc.
Others:
- Escalating double-bookings to exec for determining clear time utilization
- Ensuring business travel arrangements are suitable
Requirements:
- H.S. Diploma / Associate degree / Licensed Prof.
- Highly organized with exceptional communication skills
- MS Office expertise: Outlook, Excel, PowerPoint, etc.
- 2+ years experience working with Executive management
Preferred Skill-set:
- B.A. Admin or Business
- Agile mindset, ability to work in fast paced teams with quick decision making
