Administrative Assistant / Internal Account Representative


  • Location: Dania Beach, FL 33312
  • Full-time, Monday through Friday (9:00am to 6:00pm EST)
  • Hybrid: 2 to 3 days in-office; other days remote

Summary: Provide logistics coordination (administrative & customer service functions). Direct involvement with customer orders, customer service & support, scheduling, reporting, processing order sales, export documentation, cargo insurance, etc.


Responsibilities for Administrative Assistant / Internal Account Representative:


  • Monitor customer orders and preparation of shipments
  • Generate sales invoices, proforma invoices, Debit and Credit notes, FOB prices for direct orders internationally and direct shipment invoices
  • Responsible for processing DHL and FedEx Airway bills for shipments and documentation
  • Responsible to process customers claims
  • Filing, scheduling, copying, proofreading, preparing order status and packing list reports for customers
  • Coordinate shipments and create hazmat documentation
  • Coordinate logistics service providers (e.g. Freight Forwarders, SSL, truck drivers)
  • Request booking directly with shipping line, follow up on shipment and approve bill of lading
  • Maintains shipping and receiving paperwork
  • Provides customer service to internal and external customers and resolve issues
  • Monitoring shipments, costs, timelines, and productivity
  • Streamlines shipping and transportation processes


Qualifications for Administrative Assistant / Internal Account Representative:

  • Minimum 3 years of relevant administrative and customer support / relationship management experience required
  • Export logistics knowledge
  • Minimum high school diploma required
  • Must be proficient in Word, Excel, PowerPoint, Outlook, and internet search engines
  • Self-motivated, target-driven, able to work with minimum supervision, “teamwork” mindset; positive & proactive attitude
  • Prioritizing, time management and organizational skills
  • Excellent communication skills (verbal, written); ability to communicate with customers, vendors and sales staff
  • Fluency in Spanish a plus (not required)
