Contract Duration: One year contract

Location: Oakland, CA

Start Date: ASAP


Responsibilities:

  • Attend project meetings (both internal and external), take detailed notes, and gather necessary follow-up information or action items.
  • Track daily submissions from subcontractors.
  • Assist with supplier qualification processes and prepare purchase and work orders for review by the Project Engineer/Project Manager.
  • Develop site safety plans and prepare necessary documentation such as permit applications.
  • Assist team members in establishing and managing projects on Procore.
  • Verify and manage daily construction reports from subcontractors.
  • Support the closeout process by compiling documents for customers and internal records.
  • Prepare final completion forms and compile customer training materials.
  • Coordinate the printing and delivery of as-built drawings.
  • Handle invoicing and record-keeping for subcontractors, including COIs and lien waivers.
  • Organize project files following archiving protocols for completed projects.
  • Track RFIs and transmittals in Procore, ensuring timely responses from relevant parties.
  • Label, log, and update construction photos in Procore.
  • Maintain construction completion checklists, testing, startup, and commissioning documentation.
  • Track and close out punch list items.
  • Schedule startup and training sessions with vendors for WCW staff.
  • Ensure subcontractors maintain equipment inventory per vendor requirements.


Qualifications:

  • Must have a High School Diploma/G.E.D.
  • Five years of experience as a Project Administrator.
  • Strong computer skills are required
  • Must be proficient in Procore Project Management Microsoft Office
  • Must be willing to travel to client sites as needed.
  • Must report to the job construction site at least once per week.
