This is a Social Media and Influencer company, so knowledge of our industry is preferable.

Key Responsibilities:

  • Administrative Support: Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements. Ensure timely and efficient coordination of activities.
  • Communication Management: Screen and prioritize incoming communications (emails, phone calls, mail), draft correspondence, and handle inquiries as appropriate.
  • Meeting Preparation: Prepare agendas, documents, and presentations for meetings. Take minutes and follow up on action items as needed.
  • Project Coordination: Assist with the planning and execution of special projects and initiatives. Track progress and ensure deadlines are met.
  • Event Planning: Organize and coordinate executive events, conferences, and other activities, ensuring all logistics are handled smoothly.
  • Document Management: Maintain and organize important documents, records, and files. Ensure all materials are readily accessible and up-to-date.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
  • Office Management: Oversee office supplies and equipment, ensuring the executive office operates efficiently.

Qualifications:

Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.

Experience: Minimum of 2 years of experience in an executive assistant or similar role.

Skills:

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to quickly learn and adapt to new systems and processes.
  • Strong research skills, including the ability to list build from various sources.
  • Proficiency in G-suite (google docs, sheets, forms)
  • Ability to multitask and prioritize tasks effectively.
  • Detail-oriented and proactive in identifying issues and solutions.
  • High level of discretion and confidentiality.
  • Strong interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

Preferred Qualifications:

Familiarity with Canva, Click Up, Thinkific, YouTube and other social media platforms and/or willingness to learn
