This position will also assist in planning and facilitating internal activities and projects to support the HR team.


The ideal candidate will be a detail oriented, experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining great flexibility.

The candidate will be comfortable in a fast-paced, goal-focused environment. The candidate will possess the ability to complete a high volume of tasks with minimal guidance or supervision.

Key to the position is the ability to be organized, prioritized and on time while also serving as a "go to" for all members of this extended team.


The position requires the capacity to work successfully in a team environment, build effective working relationships inside and outside of the group, while keeping abreast of general business objectives, policies, standards, services, facilities, procedures and related information to maintain a comprehensive awareness of the organization.

Key job responsibilities

  • Management of complex calendar and scheduling requirements.
  • Drive team logistics, including staff meeting agendas, allteam meeting agendas, social outings, supply ordering, and other key logistics.
  • Tracking and helping drive completion of key deliverables and follow up on outstanding items.
  • Schedule cost effective travel (domestic and international).
  • Complete and file expense reports; utilizing both domestic and international currencies.
  • Identify and coordinate most productive and costeffective method for meetings including in person, onsite, offsite, audio conferences (international, stateside and local) and video conferences.
  • Close collaboration with departmental EA peers, as well as EAs for Vice-Presidents and Senior Vice-Presidents.
  • Plan engaging and meaningful volunteering events for employees.

Basic Qualifications

  • 5+ years of executive assistant experience
  • Experience with executive level calendar management
  • Experience with domestic or international travel coordination
  • Experience with Microsoft Office products and applications

  • Experience designing processes to maximize efficiency

Our compensation reflects the cost of labor across several US geographic markets.

The base pay for this position ranges from $59,400/year in our lowest geographic market up to $142,800/year in our highest geographic market.

Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience.
