Job Relationship:
Reports to the Events Manager.

Works closely with all members of the Philanthropy and Communications team (Fundraising, Grants, Events and Communications) and occasionally with the Offsite Adoptions team.


Position Summary:

The Events Coordinator is an integral part of the Philanthropy and Communications team who works on and provides support to the fundraising events, third-party fundraising events and community-oriented outreach events.

The Events Coordinator is expected to plan and be onsite with a lead role at all major events and all partner events.

They are also expected to attend or find volunteer representation for all BARCS' events.

This position works with the Events Manager to evaluate all events with fundraising and community outreach opportunities to determine if they are appropriate and beneficial to BARCS and to create new ways to increase revenue.

The person in this position works closely with operations staff to ensure that appropriate volunteers and/or animals are present at events.


Employees in this class are expected to work Tuesday-Saturday on a conventional week and have the availability to flex their hours to attend events on weekday evenings and weekends.


Responsibilities:

  • Assist the Events Manager in meeting or exceeding the PAC budgetary goals for events and activities
  • Assist in increasing net income for all events and activities year over year
  • May be assigned to lead and run certain annual events
  • Support the Events Manager with logistics and preparation leading up to an event as well as during the event. Confirm details with venues/hosts, and handle deliveries and other basic logistics
  • Work with Volunteer Manager and Volunteer Coordinator to recruit volunteers to support event preparation and day of responsibilities to hold a successful event; create sign ups/duties for each event and communicate this out to volunteers to ensure every role is filled
  • Coordinate activities to prepare for the event day including but not limited to maintaining checklists, picking up supplies, gathering and packing items, printing necessary materials, etc
  • Work with Philanthropy Assistant to track event registrations
  • Assist with followup correspondence to attendees
  • Develop and implement other fundraising and communitybased engagement programs as assigned or created
  • Works with communications staff members to create and maintain uptodate marketing materials for various types of fundraising opportunities and events
  • Hangs flyers, distributes postcards and other marketing materials, for events, created by communications team
  • Works with Assistant Director of Philanthropy and Events Manager to implement sponsor benefits for corporate event partners/sponsors
  • Leads and works with volunteer committees for signature major events
  • Provides training for event volunteers and provides clear direction of tasks
  • Works with the appropriate staff person(s) to collect, count and properly deposit funds from events
  • Performs related work as required
  • Other duties as assigned

Qualifications:

  • Previous experience in nonprofit event planning, fundraising or related work is required
  • 2+ years of experience, preferably in nonprofit development, marketing, public relations, hospitality management or communications
  • Driver's license and reliable personal vehicle required (additional compensation for mileage)
  • Flexibility in schedule to attend events and meetings frequently on weekday evenings, and flex hours from Saturday to Sunday for major events

Work Conditions:


Work is performed in an animal shelter that operates seven days a week, with exposure to conditions such as dust, wetness, odors, high noise levels, etc.

Work requires physical exertion such as, but not limited to, standing most of the day, bending often to interact with animals, lifting animals of all shapes and sizes with an average weight of 50 pounds, lifting bags of litter and food, etc.

There is exposure to animals of all kinds including domestic, wildlife, and farm animals.

There is potential exposure to sharp objects, cleaning agents, animal waste, zoonotic diseases, dangerous or fractious animals, and potentially hazardous conditions including the risk of animal scratches and bites.

There is also exposure to friendly, loving animals in need of your affection.
